How do I send gifts to multiple people using the campaign tool in Legacy platform?

Short description

As a gift sender, you may want to send gifts to multiple people at the same time. This process is called a campaign, and it enables you to send your gifts to any number of recipients. You can create a new campaign by following the steps below.

Prerequisites

You’ve confirmed the following information:

  • The correct spelling of your recipients’ first names and last names

  • The correct spelling of your recipients’ email addresses

  • If you are sending gifts directly to your recipients as a surprise, please ensure you’ve confirmed their correct delivery addresses also.

Context

You can use one of the following campaign options to send your gifts:

  • Invitational

We send an email to your recipients, inviting them to the platform and they enter their delivery details. You don’t need your recipients’ delivery details because they provide them in the platform for secure processing.

  • Surprise

We send the gifts directly to your recipients without asking them for their delivery details. The gifts arrive as a happy surprise!

Creating a new Invitational campaign

  1. From the homepage, choose ‘Campaign’ > ‘Get started’.

  2. Choose ‘Invitational’ > ‘Start campaign’.

  3. Specify the following details:

    1. Enter a name for your campaign - for example, ‘New Years 2022’.

    2. Select the delivery region.

    3. Select a reason for sending your gift.

    4. Optional: If you have a Salesforce or Hubspot integration, select the relevant, associated campaign in the list.

Note: If your campaign includes individuals in several delivery regions, you must create individual spreadsheet application files for each region, and include the relevant recipient information. This helps avoid delivery issues.

4. Select one or more gifts to send to your recipients.

a. Choose the plus icon (+) to add a gift to your campaign.

b. In the ‘Recipient’s gift box’ area, review your gift selection.

c. Choose 'Next' to continue.

Note: You can directly select an item to view the product description and confirm the inventory count.

5. Depending on the reason for your campaign, you are invited to do one of the following:

a. Select a physical greeting card, a greeting format, and edit a message, or

b. Edit and customise the email subject line and email message, which we send to your recipients using any of the languages shown in the list.

Note: The system automatically replaces ‘NAME’ with the recipient’s first name, as provided in your spreadsheet application file.

6. Confirm whether you want to show the gifts to your recipients before delivery, using the options in the list.

Note: If you choose ‘Selectable gift’, your gift recipient chooses just one gift from the options presented. Otherwise, your gift recipients receive every gift from the options presented.

7. Choose ‘Next’ to continue.

8. Download our spreadsheet template file and fill in the following information:

a. Recipient’s first name and last name

b. Recipient’s email address

Note: In the spreadsheet file, do not begin a cell of information with a zero (0) or a plus symbol (+), unless they are preceded by a comma symbol ('). Please ensure you use the correct formatting and that all of the information is correct so we can successfully process the recipient details.

9. Upload the spreadsheet file from your computer to the &Open platform for secure processing.

10. In the pop-up window, review the number of recipients in your campaign:

  • If the number is not correct, choose ‘Cancel’.

  • If the number is correct, choose to send your gifts.

Note: We send the gift invitation emails immediately after you confirm the campaign information. Please ensure you review and confirm the information before you complete the process.

Creating a new Surprise campaign

  1. From the homepage, choose ‘Campaign’ > ‘Get started’.

  2. Choose ‘Surprise’ > ‘Start campaign’.

  3. Specify the following details:

    1. Enter a name for your campaign - for example, ‘New Years 2022’.

    2. Select the delivery region.

    3. Select a reason for sending your gift.

    4. Optional: If you have a Salesforce or Hubspot integration, select the relevant associated campaign in the list.

Note: If your campaign includes individuals in several delivery regions, you must create individual spreadsheet application files for each region, and include the relevant recipient information. This helps avoid delivery issues.

a. The recipient’s first name and last name

b. The recipient’s email address

c. The recipient’s correct delivery address and phone number

7. Upload the spreadsheet file from your computer to the &Open platform for secure processing.

Note: In the spreadsheet file, please do the following so we can successfully process the recipient details:

  • Do not begin a cell of information with a zero (0) or a plus symbol (+), unless they are preceded by a comma symbol (').

  • Ensure you use the correct formatting.

  • Ensure all of the information is correct.

  • Ensure the recipient’s phone number is in the same country as the recipient’s delivery address.

8. In the pop-up window, review the number of recipients in your campaign:

  • If the number is not correct, choose ‘Cancel’.

  • If the number is correct, choose to send your gifts.

Note: We send the surprise gifts immediately after you confirm the campaign information. Please ensure you review and confirm the information before you complete the process.

Results

Your newly-created campaign is available from the homepage under ‘Management’ > ‘Campaign’ > ‘Campaign Index’, where you can view its status.
