Once the &Open app is installed, you can send a real gift straight from a HubSpot contact, and see what that person has already been sent. You don't need to leave HubSpot, and you don't need admin access.
Before you start
You need an &Open account you can sign in to. You send as yourself, so your own &Open permissions and budget apply. If your HubSpot login isn't linked to an &Open account, the card tells you so and your &Open admin can give you access.
A HubSpot admin also needs to connect the &Open app once and add the card to your contact record layout. You'll need at least one campaign set up in &Open with the gifts you want to send.
Find the &Open card
Open any contact in HubSpot. The &Open card loads on its own, showing two things: the gifts you can send, and the gifts this contact has already had.
If you can't see the card, your HubSpot admin chooses which teams' record views include it, so ask them to add it to yours.
Send a gift
In the card, look through your campaigns. Each one shows the gifts inside it, so you can check what you're sending.
Choose Personalize if you want to change how the gift is delivered, or edit the email subject and message.
Choose Send on the campaign you want. &Open creates the gift invitation using the name already on the contact, and the history in the card updates straight away.
Which campaigns you see
The card shows the campaigns that can ship to the contact's country, read from their record, so you only see what you can actually send them. If the contact has no country on file, the card shows everything and asks you to pick one.
You can also change the ship-to country yourself, filter by owner (all campaigns, your own, or your team's), sort, and search by name.
How the gift reaches them
If the contact has an email address, &Open emails them an invitation to redeem their gift. If they don't have one, or you'd rather send it yourself, the card gives you a shareable gift link to pass on however you like. You can choose between the two at the Personalize step.
See a contact's gift history
The card lists the gifts this contact has been sent, showing the campaign, the status, who sent it (with their team underneath), and the date. Your own sends show as "You". Use the status filter to narrow the list to Sent, In transit, Delivered, Redeemed, or Cancelled.
The history covers your whole account, so you can see if a colleague on another team has already sent this person something before you send again.
Gift names and the recipient's personal gift link aren't shown in the card. To see the full detail of a gift, open Gift History in &Open.
Questions and answers
Whose budget does the gift come out of?
Yours. You send as your own &Open user, so your permissions, budget, and team apply, and the gift is attributed to you. The campaign's own budget and stock limits still hold on top of that.
Can I write a personal message?
Yes. Choose Personalize before you send and edit the email subject and message. The gifts themselves come from the campaign, which is set up in &Open.
I can't see any campaigns in the card. Why?
There are three reasons this happens. No campaigns are set up in &Open yet, you don't have access to the ones that are, or none of them can ship to this contact's country. For the last one, change the Ship to filter to see the rest. For the first two, your &Open account team can sort you out.
Can I send to several contacts at once?
Not from HubSpot yet. Send to one contact at a time from the card, or use a HubSpot workflow to gift automatically when contacts meet criteria you choose. For a large batch, upload the list in &Open.
Why doesn't the gift show on the contact timeline right away?
Timeline activity and the &Open Gifting contact properties update as the gift moves through sending, redemption, and delivery. The card's own history updates as soon as you send.
Do I need to be a HubSpot admin?
No. A HubSpot admin connects the app and adds the card to your record layout once. After that you can send from it yourself, as long as you have an &Open account.
The card says I don't have &Open access. What now?
Your HubSpot login isn't linked to an &Open account yet, so you can't send from the card. Ask your &Open admin to give you access, then reopen the card.
