Add &Open gifting to a HubSpot workflow

Once the &Open app is installed, you can send a real gift automatically from inside any HubSpot workflow. &Open sits in the workflow builder alongside HubSpot's own actions — pick the moment, choose a campaign, and &Open handles the invitation, delivery, and tracking.

Before you start

Set up a gifting campaign in &Open first — choose the gifts, a greeting-card message, a theme, and the delivery method (Email so &Open sends the invitation, or Link so you share it yourself). You'll pick this campaign by name in the action below.

A HubSpot admin also needs to connect the &Open app once. After that, the gifting action is available to everyone who builds workflows — you don't need admin access yourself. You'll also need a HubSpot plan that includes the workflow builder (Professional or Enterprise).

Add the gifting action to a workflow

  1. Go to Automation → Workflows → Create workflow → From scratch, and choose Contact-based.

  2. Set your enrollment trigger — the moment gifting should happen. For example, when a contact becomes a customer: Set up triggers → Met filter criteria → Lifecycle stage → is any of → Customer.

  3. Click the + between steps, find the &Open section, and choose Send to &Open campaign.

Set up the gift

When you add the action, you choose a few things:

  • The campaign the gift comes from, picked from a list pulled live from your &Open account.

  • The recipient — map First name, Last name, and Email from the contact.

  • How the recipient gets their gift. This depends on two settings together: the campaign's delivery method in &Open (Email — &Open emails the invitation; or Link — you get a link to share) and the action's "Have &Open email the recipient" toggle. To have &Open email it automatically, set the campaign to Email delivery and turn the toggle on. To send it yourself from a branded HubSpot email, use Link and drop the action's invitation link output (also saved on the contact's Most recent gift link property) into a HubSpot Send email step.

  • A personalised message, using HubSpot contact tokens like {{contact.firstname}}.

Use the gift details in later steps

The action passes back three details you can use further down the workflow: the gift invitation link, the gift status, and the order ID. Branch on whether a gift was created, or drop the invitation link into a later Send email step so the message comes from your own HubSpot template.

Publish and test

  1. Click Review and publish. Choose "only enroll contacts after the workflow is turned on", name the workflow, and Turn on.

  2. Test it: on a contact, set Lifecycle stage → Customer. The workflow enrolls the contact and &Open creates the gift.

On the contact you'll see a timeline note and the &Open Gifting properties. Open Most recent gift link for the recipient's themed gift page.

When a gift can't be sent

If the action can't run, the workflow history shows a clear message explaining why rather than failing quietly. Common reasons are a campaign that can't be found, a budget that's been reached, or a gift that's out of stock. The action follows the budget controls and stock allocations set on your &Open account, so a workflow can't spend past its limits.

Questions and answers

Which workflows can I use this in?

Contact-based workflows, which cover the most common gifting cases. Deal-based and Company-based workflows are under review, and we'll add them based on what customers need.

Can I send the gift with my own HubSpot email instead of &Open's invitation?

Yes. Set the campaign to Link delivery (or turn the action's email toggle off), then add the gift invitation link to a HubSpot Send email step. The gift still comes from &Open, but the message comes from your own template.

How much can I personalize the invitation?

You can write your own message and include HubSpot contact tokens, so it can greet people by name and pull in other details from their contact record.

My gift action failed. How do I find out why?

Open the workflow history for that enrollment. &Open writes a plain-language reason there, such as a campaign that can't be found, a budget that's been reached, or stock that's run out.

Do I need to be an admin to add gifting to a workflow?

No. An admin connects the app once. After that, anyone who builds workflows can add the gifting action.

Who does the gift come from?

The gift is sent by the owner of the &Open campaign you choose in the action — that's the sender shown on the gift and on the HubSpot contact timeline, and their &Open budget is the one used. It's the same for every gift the workflow sends, whoever built the workflow or triggered it, so pick a campaign owned by the right person (a rep, or a shared account).
