Connecting your gifting platform to Personio

How to integrate Personio into your gifting platform to make it easier to gift your employees.

Connecting your Personio database to the &Open gifting platform is easy and only takes a couple of minutes.

First we will configure the required fields for gifting within Personio, and then Personio will give us our API credentials (a “client ID” and a secret) which we enter on the &Open platform to complete the connection.

Configuring required fields

As a reminder, our HR integrations access only the absolute minimum data from your HR system to enable gifting workflows. You can see a list of the data we access and do not access. The fields we read in are either required to send gift invitations (e.g., names and email addresses), or are required to help you search and filter within your staff to find the right recipients (team names, offices etc.).

Within Personio, you will be creating a new Integration, and configuring these fields on the integration. First, go to Settings, and then Integrations → API Credentials.

If you don't see these options, you will need to be made an admin in Personio by an existing admin in your company. This is accessed from Settings → Employee Roles → Administrator.

On the API Credentials screen, click on Generate new credential give it a name, such as “&Open Gifting Platform”, and choose “Other” as the integration type. In the checkboxes that follow, we only need to enable “Read” access on “Employees”. Leave the other checkboxes blank.

Under “Readable employee attributes”, Personio gives us fine-grained control over which data can be accessed by the integration. We will be enabling up to 24 fields which match the required fields for gifting and searching among the staff when constructing campaigns.

Enable these fields

Enable the following fields on the integration so that the gifting platform can use them.

  • City and Country

  • Contract ends

  • Created at

  • Department

  • Email

  • Employee ID

  • Employment type

  • First name

  • Hire date

  • Is a People Manager

  • Last Working Date

  • Last day of work

  • Last name

  • Occupation type

  • Office

  • Position

  • Status

  • Supervisor

  • Team

  • Termination Date

Optional fields

These fields are optional, but will enhance the gifting platform's functionality and we recommend that they be enabled also.

  • Birthday

  • Personal email

  • Profile Picture

Entering our connection details

Once everything above is configured, you can copy your client ID and secret, and enter them into the onboarding flow accessed from the “Integrations” screen on your gifting platform.

Once these are entered, we'll connect the two systems and begin to sync your data. You’ll receive an email from the platform within a few minutes once the initial sync is done and you’re ready to start gifting! Go to the campaign tool to begin using your new integration.
