Connecting your Hibob staff database to the &Open gifting platform is easy and only takes a couple of minutes.
When you begin the linking process, you’ll be given two options — “I want to integrate with my Hibob Token and User ID. (Recommended)”, and “I want to use my API Key or Access Token.” Using the first option is more straightforward, as you simply need to follow the steps to log in to the Hibob software, and enable a connection between the &Open platform and the Hibob system.
Setting up a Hi-Bob Service User
In Hibob, go to Integrations-> Service Users -> Manage.
Create a Service User and save the Service User ID and Token somewhere safe. These will be the two pieces of information you'll paste into the &Open platform to confirm the connection.
Go to Roles and Permissions and create a group. Give it a name and then add the Service User you just created to the new Permission Group.
Under People's Data, edit the data that can be accessed by choosing Select people by condition and selecting Edit.

c.) Select "Employed, Hired" under Lifecycle Status

Configuring required fields
When you perform the linking process, the account access level that your own user account has will also apply to the connection between Hibob and the gifting platform.
If you don't have sufficient access in Hibob to synchronise the data you need for your gifting projects, you will need to request a higher level of access within your company, or invite a user from your company who has the required level of access to your gifting platform to perform the linking process for you.
As a reminder, our HR integrations access only the absolute minimum data from your HR system to enable gifting workflows. You can see a list of the data we access and do not access. The fields we read in are either required to send gift invitations (e.g., names and email addresses), or are required to help you search and filter within your staff to find the right recipients (team names, offices etc.).
If you need to change these access level details later on, to include additional fields that weren’t enabled in your initial sync, these will be picked up in the next synchronisation. We sync your data every few hours to ensure we have the latest data to work with.
Under People's Data add the following permissions.
Email
Edit selected employees' email addresses
Employment
View selected employees' Employment sections
History
View selected employees' profile changes history
Lifecycle
View selected employees' Lifecycle sections (This is needed to surface Employment Status)
Personal
View selected employees' Personal sections
Edit selected employee's Personal sections (This is needed to surface Date of Birth)
Work
View selected employees' Work section histories
Entering our connection details
Once you’ve added your User ID and Token, we'll connect the two systems and begin to sync your data. You’ll receive an email from the platform within a few minutes once the initial sync is done and you’re ready to start gifting! Go to the campaign tool to begin using your new integration.
