Required and optional data fields for HR integrations

Set up access to the right fields so that your staff gifting can become seamless

&Open have carefully designed our HR integrations to only process the data fields we require for gifting purposes. We only require the ability to read information from your HR system ("read access"), and under no circumstances will we change any data within your HR system ("write access").

&Open will only access the parts of the information needed to send out gift invitations to recipients, or to use for sorting and filtering your staff members when creating campaigns, such as team names, positions or offices. We also check for fields such as “last working date” so that we can avoid sending a gift to a team member who is no longer with the business.

Data fields

Core elements that will sync from your staff system to enable gifting features:

  • First name

  • Last name

  • Work Email

  • Hire date/Start date (for anniversary gifting and onboardings)

  • Department/Team

  • Office location (country)

Additionally, we encourage you to include the following optional fields that enable advanced filtering functionality or make the data easier to work with once it's loaded into the platform:

  • Position/Title

  • Birthday (just month and day, not year, to enable birthday gifting)

  • Employee ID

  • Personal email (if sending onboarding gifts before employee’s start date)

  • Profile Picture

Including these details as context will unlock additional features and enable a more attractive and useful interface to your gift senders:

Employee filtering

The following fields can also be included to help us to filter out inactive employees so that they don't receive gifts. You can also just filter the data set you send us when creating the service account so that certain classes of employees (e.g., contractors, part-time workers) are not included if you don’t intend them to be gifted.

  • Employment type

  • Status

  • Termination Date

  • Last Working Date

  • Last day of work

  • Account Number (US)

  • Address

  • BIC

  • Contract ends

  • Cost center

  • Emergency contact name

  • Fixed salary

  • Gender

  • Health Insurance

  • Hourly salary

  • IBAN

  • Last modified

  • Marital status

  • Name on bank account

  • Nationality

  • Notice Announced

  • Notice period

  • Personal Phone Number

  • Phone Model

  • Emergency contact phone number

  • Emergency contact relationship to the employee

  • Employee Pension Scheme

  • Postcode

  • Probation period end

  • Public holidays

  • Routing Number (US)
