How do I allocate stock to my team?

Our new stock allocation tools will provide more management controls to our customers, enabling Admin users to:

  • Control the physical gifts that are visible to each team in an account

  • Control the quantity of each physical gift that is available for each Team

  • Share stock between specific Teams (if desired)

  • Manage and edit these settings at any time

This tool ensures that Teams will not be able to exceed the maximum stock assigned to the Team.

Our out of stock workflow will apply when inventory runs out, meaning that an item is removed from the recipient redemption experience when it becomes out of stock.

Note: stock allocations are not possible for digital gifts and On-Demand gifts at this time.

Follow the steps below to set up stock allocations:

From the navigation bar, a new inventory page will be available only for Admins. This page will be your home base for reviewing and managing inventory quantities per warehouse, as well as assigning stock to teams.

You will be able to filter for each warehouse where you hold stock as well as quickly search via the search bar for a specific piece of inventory. You will have a high level view of how many units of inventory you have available in said warehouse.

Note: Inventory will automatically be available to all teams, but you can very easily update this setting to specific teams with just a few clicks!

Clicking the Edit button will enable you to easily update these settings, as shown below.

For each item, select the team or teams that you would like this piece of inventory to be available to. You may also set exact quantities when neccessary. Setting an exact quantity available for a team or teams is called setting a Limit. Limits enable you to set a team to have access to an exact amount of inventory, and will block said team from being able to send more than the number limit saved here.

If a limit is not specified but multiple Teams are selected here, the item will be shared between the selected Teams without a quantity split. This means that the Teams are able to share access to the entire quantity of an item. This is a helpful tool if you are looking to share old inventory with other teams, or quickly reduce stock for a specific item!

Once these settings are saved, you will also see a snapshot of what gifts are allocated to each team within our Team Settings section for each team. This page is only available for Admins to have visibility and management. See our article on Roles and Permissions for more details.

Additionally, the shopping experience now shows you the inventory available specifically for your Team, and any physical gifts that are not assigned to your Team or assigned to All Teams within the account will not be visible when creating gift requests or campaigns.

Here you will see the total count of the stock that’s available for you to use in the warehouse you are shipping from for your team. As a reminder, you can only see stock that is assigned to your team.

Clicking on the ‘View Stock Details’ button, takes you to a new Admin specific page that will help you manage products. This page links to the gift profile page which gives you a detailed view of stock across each warehouse.

For further visibility when sending gifts, you will be reminded of how much inventory is available for your team to use during the checkout experience.

💡Keep in mind that quantities of stock are reduced at the time of gift redemption. As a reminder, an item will no longer appear in the redemption experience when it becomes out of stock. A gift is considered out of stock when the allocated amount has been used.
