Our Budget Limits feature enables Admin users to set a monthly or annual budget for each user in the account. This set budget applies to all gift types within enterprise accounts.
This means that the same per-user budget applies to all of the following gift send types:
Physical enterprise gifts
Digital gifts
Cause gifts
Gifts purchased from the On-Demand Marketplace
It is recommended that Admins use this tool to set budgets for individuals who are set to the Gift Sender role, as this will enable Admins to better manage individuals and the gifts they send with more restricted access.
To set a budget, simply go to the user profile by clicking into Users & Teams from the navigation bar in the upper righthand corner.
Select the relevant user's profile.
By default, users have no budget. So to enable a budget, change ‘No budget’ to Annual or Monthly and enter the preferred budget amount.
Budgets re-set each month on the first day of the calendar month or calendar year. Remaining budget for the prior month or year does not apply to the following month or year. It’s use-it-or-lose-it.
Click the 'Update budget' button to save your budget settings.
Once the budget is saved, you will see a success confirmation and a budget tracker on the bottom of the user's profile. This tool is intended to help each user and their Admins manage their budget throughout the time period.
Please note that shipping is now included in budgets for both On-Demand sends and enterprise physical gifts. That being said, we recommend setting a budget that factors in potential shipping costs as these can range depending on the recipient's location.
Bulk updating budgets:
It is also possible to set a budget for multiple users at once. To do this, select the users you wish to update from a specific team and/or the full user list by clicking on the box next to each relevant user on the lefthand side.
Then, set the budget cadence and amount that you would like applied to each user. As a reminder, you are setting the budget per user. This amount is not shared by multiple users. Once you have determined the per user budget amount, press 'Update budget' to save.
You will see a confirmation that the budget has been updated for the users that you selected!
Once a budget is set, a user will not be able to send more gifts than the budget allows and they will see an error message if they attempt to do so, as shown in the examples below:
